FLSA Status: Non- Exempt

Job Purpose:

The purpose of this position is to perform a variety of administrative duties to facilitate and support the daily operations of the Municipal Court. Responsibilities include, but are not limited to processing and maintaining various court documents, files, and indexes; collecting and processing fines; issuing notices; attending evening court sessions; issuing or cancelling warrants; responding to inquiries over the phone and in person; completing continuing education programs; processing mail; and receiving, processing, and balancing court monies. The Court Clerk performs a variety of duties in accordance to an established set of policies and procedures and reports to the Court Administrator.

Essential Functions

  • Processes and maintains case files accurately for scheduled court dockets.
  • Verifies all tickets have correct ordinance code and enters ticket data onto appropriate dockets.
  • Processes requests for continuance.
  • Prepares and maintains various court records, files, and indexes.
  • Collects fines, provides receipts, and processes payments.
  • Processes disposition cases.
  • Cancels and issues warrants.
  • Mails a variety of notices to notify interested and concerned parties regarding court dates, fines, fees, etc.
  • Works closely with the Police Department, Municipal Prosecutor, the Prosecutor's Clerk, and outside Attorneys on a daily basis to ensure accurate and complete information is available to the Judge for court proceedings.
  • Attends evening court sessions.
  • Enters and retrieves data through an automated court information system.
  • Responds to questions and requests from the public and attorneys in person and over the phone.
  • Attends training and continuing education programs/seminars.
  • Processes mail on a daily basis and applies funds/correspondence to the appropriate court document.
  • Ensures defendant monies are applied correctly to each case.
  • Balances cash drawer at the end of each day.
  • Performs follow-up work subsequent to court sessions.
  • Performs other duties as required/assigned.

Qualifications:

  • A High School diploma or equivalent certification.
  • Two years of experience in court clerical, paralegal, or administrative work.
  • Knowledge of court operations, procedures, legal documents, laws/ordinances, judicial rules, and orders.
  • Knowledge of, and experience with, computer software applications, including Microsoft Office Suite (Word, Excel, Access, PowerPoint)
  • Experience using a 10-key adding machine or calculator
  • Customer service skills are essential.
  • Excellent written and oral communication skills.
  • Ability to multitask is essential.
  • Excellent organization skills.
